Shri Ram Niyamat Charitable Trust is committed to working with honesty, transparency, equality and social responsibility. The following policies guide the activities, programmes and administration of the Trust.
1. Transparency and Accountability Policy
The Trust shall maintain proper records of its programmes, donations, expenses and administrative activities. All funds received by the Trust shall be used only for charitable, educational, social and welfare purposes in accordance with the objectives of the Trust.
2. Donation Policy
The Trust may accept donations, grants and voluntary contributions from individuals, institutions and organisations.
All donations shall be used for the charitable activities and approved programmes of the Trust. A proper receipt shall be issued for every eligible donation received through authorised payment methods.
The Trust reserves the right to refuse any donation that is unlawful, conditional, suspicious or inconsistent with the objectives and values of the Trust.
3. Donation Refund Policy
Donations are generally non-refundable because they may be allocated immediately to charitable programmes and social welfare activities.
In case of duplicate payment, technical error or unauthorised transaction, the donor may contact the Trust within seven days of the transaction. Refund requests shall be reviewed individually, and the decision of the Trust shall be final.
4. Privacy Policy
The Trust respects the privacy of its donors, members, volunteers, beneficiaries and website visitors.
Personal information such as name, phone number, email address, postal address and payment details shall be collected only when necessary. Such information shall not be sold, rented or shared for commercial purposes.
Information may be disclosed only when required by law, necessary for authorised Trust activities or permitted by the concerned person.
5. Non-Discrimination Policy
The Trust shall provide equal opportunities and assistance without discrimination based on religion, caste, gender, language, region, disability, social background or economic condition.
Selection of beneficiaries shall be based on genuine need, programme objectives and available resources.
6. Child and Vulnerable Person Protection Policy
The Trust is committed to protecting children, women, senior citizens, persons with disabilities and other vulnerable individuals.
No form of abuse, harassment, exploitation, discrimination or inappropriate behaviour shall be tolerated during any programme or activity conducted by the Trust.
Any complaint relating to safety or misconduct shall be taken seriously and handled confidentially.
7. Volunteer and Member Conduct Policy
All trustees, members, employees and volunteers shall:
Maintain dignity, discipline and professional behaviour.
Respect beneficiaries, colleagues and members of the public.
Avoid discrimination, harassment and misuse of authority.
Protect confidential information.
Use the name, logo, funds and property of the Trust only for authorised purposes.
Avoid activities that may harm the reputation of the Trust.
8. Conflict of Interest Policy
Trustees, members and authorised persons must disclose any personal, professional or financial interest that may influence a decision of the Trust.
No person shall use their position in the Trust for personal benefit or unfair advantage.
9. Financial Management Policy
The funds and assets of the Trust shall be managed responsibly. Payments and expenses shall be properly authorised and recorded.
Trust funds shall not be used for personal purposes. Financial decisions shall be made in the best interests of the Trust and its charitable objectives.
10. Grievance and Complaint Policy
Any donor, member, volunteer, beneficiary or member of the public may submit a complaint regarding the activities or conduct of the Trust.
Complaints should include the complainant’s name, contact details and a clear description of the issue. The Trust shall review the complaint fairly and take appropriate action.

11. Website Content Policy
The information published on the Trust website is provided for general awareness and communication.
The Trust makes reasonable efforts to keep the information accurate and updated. However, programme details, dates, eligibility conditions and other information may be changed when necessary.
No person may copy or misuse the Trust’s logo, photographs, documents or website content without prior permission.
12. Policy Review and Amendment
The Trust may review, modify or update these policies from time to time according to its activities, administrative requirements and applicable rules.
Updated policies shall become effective from the date of publication on the official website.
